When a spreadsheet has become your job-management system

Look for ownership and handover problems before deciding to replace a spreadsheet.

A spreadsheet can serve a small team well. Trouble often begins when several people use it to mean different things. One person marks a job complete when the visit ends; another assumes complete means the invoice has been checked and sent.

Before buying or building a replacement, write down what your status labels mean. Choose one recent job and follow it from enquiry to final paperwork. Where did someone wait for a message, copy information or ask whether a colleague had finished?

Separate records from actions

A row holds information, but the team also needs to know who acts next. Add a responsible person, a next action and a date where appropriate. That exercise can improve today's process while giving a future system a clearer purpose.

For a business with field staff and an office, the handover might involve photos, customer approval and materials used. The new system needs to make missing information visible. Simply reproducing every spreadsheet column on a phone screen can make the process harder.

Try configuration before custom work

Existing job-management software may already cover your core process. Compare a small number of realistic jobs in a trial, including a cancellation and a job that needs a second visit. Note any manual work left over and whether it is significant enough to justify a connection or custom feature.

The Australian Government's digital tools overview is a useful orientation. Your choice should still come from your own workflow, staff needs, export options and ongoing costs.

Move in a controlled first step

Pick a limited set of active jobs, confirm the imported totals and keep an agreed reference copy of the old records. Decide which system staff must update during the transition. Running two editable lists without a clear owner makes reconciliation harder.

Our workflow software service can help define that first release, including the cases where a better spreadsheet or existing product is enough.
