Booking across Australia: make the appointment time unmistakable
Design booking confirmations around the place where the service happens, with clear local times and sensible rescheduling.
“Thursday at 10” is a risky appointment description when your customer, staff member and booking system may be in different places. Even a business serving one city can encounter this problem when customers book while travelling.
Choose the appointment's location first. A physical visit should be expressed in the local time of that location. For an online consultation, show the service time zone clearly and offer the customer's local equivalent when the system can determine it reliably.
Keep the place attached to the time
A useful confirmation reads “Thursday 12 November, 10:00 am, Sydney time” and includes the location or meeting link. Use a named geographic time zone in the software so seasonal changes can be handled by a maintained time-zone database. A fixed offset copied into a settings box is easy to forget.
Have the booking tool calculate real dates rather than relying on a permanent “Australia is X hours ahead” statement. The Australian and US seasonal clock changes do not form a simple year-round relationship. For remote work with Faith Forge Labs, we agree actual overlap windows during project planning.
Make rescheduling understandable
A rescheduling page should repeat the existing appointment before asking for a replacement. Show which location's time is being used beside the choices. If the booking is awaiting staff approval, keep that status visible rather than presenting a calendar invitation as final confirmation.
Think about staff as well as customers. A coordinator may need to see the visit's local time and the office's local time together. That is often clearer than forcing everyone to mentally convert a mixed list of bookings.
Build a date test into acceptance
Test bookings either side of seasonal clock changes, customers browsing from another time zone and an appointment rescheduled after a clock change. Check reminders and calendar attachments as well as the website screen. Every piece should point to the same moment.
The IANA time-zone database is the maintained reference commonly used by software libraries. Your booking project should name its library, update approach and test cases. See our booking service for help designing the complete customer journey.
