AI and support

Before adding an AI helper, organise the answers you trust

Use a bounded set of customer questions to decide whether an AI-assisted support tool is worth building.

If staff give three different answers to the same delivery question, an AI helper will not settle the underlying policy. Begin by collecting the questions customers actually ask and writing the approved answer with the person responsible for it.

For an Australian business serving several regions, that might include delivery coverage, booking changes, service preparation and who to contact when an order is delayed. These are useful starting topics because the correct answer can be reviewed.

Choose what the helper may do

Finding an approved article is different from changing a booking or promising a refund. Start with a limited task and make the next human contact clear. Questions outside the approved material should reach a person rather than prompt a confident guess.

Give each answer an owner and a review date. A tool that cites an old policy can still mislead someone, even if the source link works. Include out-of-date and conflicting material in your tests.

Decide what information may be entered

Keep real customer records out of early demonstrations. The OAIC's commercial AI guidance discusses privacy risks and recommends caution with personal information. Have the proposed use and provider arrangement reviewed for your organisation.

The customer also needs to understand when a response is automated and how to reach help. Do not make an AI chat box the only route for a difficult or sensitive issue.

Test the uncomfortable questions

Ask about a service you do not offer, a disputed payment and a policy exception. Check whether the tool stays within the agreed task. Track wrong or unhelpful responses and provide a way to disable the feature if necessary.

Our AI-assisted tools service begins with the question set and review process. A searchable help library may be the better first step when your answers are still being organised.
