Connected systems

Before connecting your CRM to accounting, decide who owns the answer

Prevent conflicting customer details and duplicate invoices by defining the rules before connecting tools.

A CRM and an accounting package may both contain a customer record, but they do not necessarily describe the same relationship. A sales contact might be one person at a company while invoices go to a different legal entity and accounts address.

Start the integration by drawing those distinctions. Ask your bookkeeper which details must be correct before an invoice is created, and ask sales which details can change during an enquiry.

Choose ownership field by field

“Synchronise customers” is too broad a requirement. Decide where the billing name is maintained, where sales preferences live and which identifier links the records. A matching email address alone can be unreliable when several people use a shared accounts inbox.

For an Australian business, preserve the exact business identifiers and tax settings your adviser has approved. Do not let a general contact update silently change invoice treatment. A developer should implement the approved accounting rules without inventing them.

Plan for partial failure

Suppose the CRM records an accepted quote, but the accounting connection is unavailable. The office needs to see that the invoice has not been created and who should investigate. A retry should not create two invoices for the same accepted quote.

Keep a readable record of connection attempts, with private details limited to what support needs. “Something went wrong” leaves staff guessing; a status such as “Waiting to create invoice” points to a specific task.

Use representative transactions

Test an existing customer, a new customer, an amended billing address and a cancelled quote. Have the person responsible for bookkeeping review the resulting records before enabling routine use.

Business Queensland's record-keeping guidance recommends discussing system choices and responsibilities with an accountant, bookkeeper or tax agent. Faith Forge Labs can then build the connection around those agreed decisions.
